Job Applications

Q. Is there someone that can review my resume to assist in finding a suitable position?

A. At this time, Douglas College does not review individual resumes. Prospective applicants are encouraged to review the “To Be Successful in this Role You Will Need” section of the job posting and check your qualifications against the requirements for the position prior to submitting an application. We encourage all applicants to submit a detailed resume and cover letter to help Hiring Managers and Selection Committees to fully understand your knowledge and skills as well as relevant work experience and how it relates to the role you are applying for.

Q. Can I be notified when a new posting is available at Douglas College?

A. Yes absolutely! Simply subscribe to receive notification for new positions that are posted on our Career Site. Visit our Job Alerts page, fill in the information required and then indicate your areas of interest. When a position becomes available from your selection, you will receive a notification via email.

Q. Where can I submit my application?

A. Douglas College only accepts applications submitted directly on this career site (www.douglascollegecareers.ca) unless otherwise noted in the Special Instructions to Candidates section of the posting.

Q. May I provide my application in person? I would like to speak directly with the Hiring Manager.

A. Douglas College only accepts applications that are submitted online via the Douglas College Career Site. Paper copies of resumes will not be accepted. If you need assistance with submitting your application online, please contact humanresources@douglascollege.ca and we will do our best to assist you. You will be contacted by the Selection Committee should you be shortlisted for an interview.

Q. If a posting is showing on the career site, does that mean you are still accepting applications?

A. Yes, you are still able to apply to the posting if it is still displayed on the Douglas College Career Site.

Q. The posting displays a closing date or a review date that has passed, may I still apply?

A. A closing date may indicate a deadline for internal candidates or an intended first review date of candidates by the Selection Committee. Any job that is still posted on the Douglas College Career Site is open to receive applications.

Q. I do not live in Canada, can I still apply to the posting?

A. Douglas College is committed to being a workplace that is free of discrimination that values diversity and is representative of the communities we serve. Douglas College welcomes and accepts all applications. Candidates must be able to obtain and maintain a valid Canadian work permit and a social insurance number at the start of employment, and for the duration of employment. Please note that per Employment and Social Development Canada regulations, all qualified candidates are encouraged to apply, however Canadians and permanent residents will be given priority.

Q. Who should I address my cover letter to?

A. You may address your cover letter “To Whom it May Concern” or “To the Hiring Committee.”

Q. What documents do I need to provide in my application?

A. Required documents will be listed on the posting and you will not be able to proceed with your application until you have uploaded all the required documents under the “Documents Needed to Apply” section.

Q. The posting says that I need to provide references but I prefer not to until I am shortlisted. What should I do, as it is a required document?

A. If you prefer not to provide your references at the point of application, you can upload a word document that says “references to be provided at interview stage.”

After Submitting a Job Application

Q. How do I know my submitted application has been received?

A. Once your application has been submitted, you will receive an email from humanresources@douglascollege.ca with the subject line “Information from Douglas College – Application Confirmation”. This email will contain your confirmation number. You can also log-in to the Douglas College Career Site and click on the “My Applications” section. Any completed applications will be shown under the “Completed Applications” section and any incomplete applications will be shown under the “Applications to Complete” section.

Q. What happens after I submit my application?

A. After the competition closes, your application will be assessed and if you are shortlisted, a representative of the Selection Committee will contact you.

Q. How can I withdraw my application?

A. Log-in to the Douglas College Careers Site and click on the “Your Application” page. Your applications will be listed under the “Completed Applications” section. Click on the “Withdraw Application” link under the status column to withdraw your application.

Q. Where can I review my submitted application materials?

A. Log-in to the Douglas College Careers Site and select the “Your Applications” page. Application materials are listed under the “Completed Applications” section.

Q. Can I modify my application once it has been submitted?

A. Once an application has been submitted, it cannot be modified. In exceptional circumstances Human Resources may return portions of the application to applicant for editing as long as the posting is still open on the Career Site. However, not all parts of submitted application can be modified and modifications will be authorized solely at our discretion. It is not possible to reactivate applications for positions that have closed.

Q. I have applied to a posting and I have not heard anything back yet, would you be able to provide me with an update?

A. A member of the Selection Committee will be contacting you if you are shortlisted for a position. Due to the high volume of applications received, we are not able to provide updates and feedback on individual applications. You can also check the status of the posting under the “Your Applications” page, the “Completed Applications” section and status column.

Q. If the posting indicates that a criminal record check is required for the position, can I apply if I don't have it yet?

A. We do not require the criminal record clearance at the application stage. However, for positions requiring a criminal record check, an offer will not be made without the College receiving a clear criminal record check . As processing times can be unpredictable, applicants are encouraged to complete the check as soon as possible. Criminal record checks may be requested online via https://justice.gov.bc.ca/eCRC/, with an access code that can be provided to you by the College upon request to humanresources@douglascollege.ca. Please note: there is a $28 processing fee, at the applicant's expense.

Q. For BCGEU Support Staff positions, what type of applicant is given priority and considered an "internal candidate"?

A. All employees that currently work at the College should identify themselves by name and employee number in the Supplemental Questions section that asks them if they are a current or former Douglas College employee. After working at the College for 65 days, applicants are considered "internal" for recruitment purposes. Douglas College strives to promote from within, therefore internal applicants will be released for review before considering external applicants. Internal candidates that meet the minimal qualifications, skills, and abilities for the position will qualify for an interview.
